Presets and Custom Entities

What Are Presets?#
Think of presets like recipes in a cookbook. When you bake cookies, you follow the same recipe every time so they turn out the same way. Presets work the same way for finding and hiding personal information!
A preset saves:
- Which types of information to look for (like names, emails, or phone numbers)
- How to hide that information (replace it, blur it, or encrypt it)
- Your favorite settings so you do not have to set them up again
Why use presets?
- Save time - no need to pick the same settings over and over
- Stay consistent - your documents always get the same treatment
- Share with your team - everyone uses the same rules
Built-in Presets#
We have already made some presets for you! Here are the most popular ones:
GDPR Compliance#
This preset is made for European privacy laws. It finds and hides all the personal data that GDPR (a privacy law in Europe) says must be protected.
What it looks for: Names, addresses, emails, phone numbers, ID numbers, and more.
General PII Detection#
PII stands for "Personally Identifiable Information" - that is just a fancy way of saying "stuff that can identify a person."
What it looks for: The most common personal information like names, emails, and phone numbers.
Financial Data#
This one focuses on money-related information that needs to stay private.
What it looks for: Credit card numbers, bank account numbers, and financial codes.
Healthcare#
For medical and health information that must be kept confidential.
What it looks for: Patient names, medical record numbers, and health insurance information.
Contact Information#
A simple preset for basic contact details.
What it looks for: Names, email addresses, phone numbers, and mailing addresses.
Creating Your Own Preset#
Want to make your own recipe? Here is how:
Step 1: Set Up Your Analysis#
First, pick all the settings you want. Choose which types of information to find and how to hide them.
Step 2: Click "Save as Preset"#
Look for this button after you have your settings just right.
Step 3: Give It a Name and Description#
Pick a name you will remember, like "My Company Documents" or "Customer Data Cleanup."
Add a description so you remember what it does later!
Step 4: Use It Anytime#
Your preset is now saved. Next time, just pick it from your list and you are ready to go!
Managing Presets#
Edit#
Changed your mind about some settings? You can update your preset anytime. Just open it, make your changes, and save.
Delete#
Do not need a preset anymore? You can remove it to keep your list tidy.
Share#
On some plans, you can share your presets with other people on your team. This way, everyone can use the same settings!
What Are Custom Entities?#
The platform already knows how to find common things like:
- Names
- Email addresses
- Phone numbers
- Credit card numbers
But what if you need to find something special that only your company uses? That is where custom entities come in!
Custom entities let you teach the system to find your own special patterns.
Examples of Custom Entities#
Here are some things companies often need to find:
Product Codes#
Maybe your products have codes like ABC-12345 or PROD-98765. You can create an entity to find these!
Employee IDs#
Your company might use employee numbers like EMP001234 or STAFF-5678.
Internal Reference Numbers#
Things like case numbers, ticket IDs, or order numbers that follow a specific pattern.
Custom Identifiers#
Any special codes your company uses that no one else would have.
Creating Custom Entities#
There are two ways to create custom entities. The first way is easier!
Method 1: AI Entity Creation (Recommended)#
This is the easiest way because AI helps you do the hard work.
Step 1: Go to the Entities page
Step 2: Click "Create with AI"
Step 3: Describe what you want to find Just type in plain English! For example: "Find product codes that start with three letters, then a dash, then five numbers."
Step 4: AI suggests patterns for you The AI will figure out the pattern and show you examples.
Step 5: Test and adjust Try it on some sample text to make sure it works. You can tweak it if needed.
Step 6: Save your entity Give it a name and save it. Now you can use it!
Method 2: Manual Creation#
If you know how to write patterns (called "regex"), you can create entities yourself.
Step 1: Go to the Entities page
Step 2: Click "Create Entity"
Step 3: Enter a name Pick something descriptive like "Product Code" or "Employee ID."
Step 4: Add patterns This is where you write the regex pattern. Regex is like a special code that describes what text looks like.
For example: ABC-\d{5} means "ABC, then a dash, then exactly 5 numbers."
Step 5: Test with sample text Paste some example text to make sure your pattern finds what you want.
Step 6: Save Click save and your entity is ready to use!
Tips for Success#
Start with AI creation#
If you are new to this, the AI method is much easier. You do not need to learn regex!
Test your patterns before using them#
Always try your pattern on sample text first. It is better to find problems early.
Use descriptive names#
Name your entities so you remember what they do. "Product Code" is better than "Pattern 1."
You can edit entities anytime#
Made a mistake? No problem! You can always go back and fix your entity.
Start simple#
It is better to create a simple pattern that works than a complicated one that does not.
